The most dangerous moment in any import deal is wiring the deposit. The instant the money leaves your account, you are at the mercy of a party thousands of kilometers away that you may never have seen or even confirmed exists. Stories of importers who paid and then discovered the "factory" was just a small office or a fake front are not rare. First: Verify the Official Documents

Every legitimate Chinese company is registered with government authorities and holds documents you can verify:

  • Business License: Request a clear copy, and check the 18-digit Unified Social Credit Code, the legal company name, and the authorized business scope. If the scope reads only "trade" without "manufacturing," you are dealing with a trading company, not a factory.
  • Name matching: Make sure the company name on the license matches the bank account you will transfer to. Any discrepancy here is a major red flag.
  • Quality certificates: Request relevant certificates such as ISO 9001, and confirm they are valid and issued in the company's own name.

Second: Test the Supplier's Technical Knowledge

A real factory knows its product deeply. Ask precise technical questions: What raw materials are used? What is the monthly production capacity? How many production lines do you have? What is your typical defect rate? A supplier who stalls or turns your technical questions into vague answers is usually an intermediary without the factory. Also request photos of the product during manufacturing stages, not just the polished final shots.

Third: Demand Live Proof of Production

Do not settle for static images that may be copied from the internet. Ask for:

  • A live video call where the supplier walks through the production line and warehouses.
  • A video holding a paper showing today's date and your company name, to prove it is not pre-recorded.
  • A real, paid production sample so you can inspect actual quality before the full order.

Fourth: Cross-Check the Data

Search the company name in both English and Chinese on search engines and Chinese company databases. Check the age of the website domain and the company's official email address (be wary of anyone using only a free email). Review the company's track record on platforms: years of activity, ratings, and past transaction volume. Matching the address on the license with the factory's location on maps is an important signal.

Fifth: On-Site Inspection, the Strongest Guarantee

Everything above lowers risk but does not eliminate it. The strongest guarantee is having a trusted person set foot inside the factory. An on-site visit reveals what no document can show: Are the production lines actually running? Does the number of workers match the declared capacity? Are the inventory and equipment real? If you cannot travel yourself, hiring a local inspection team in China to visit, film, and write a detailed report is the best investment to protect your entire deposit.

Bottom Line: Do Not Trust, Verify

Verification is not an insult to the supplier; it is a professional practice every serious factory understands. A supplier who refuses or stalls on verification is telling you they have something to hide. Make verification a non-negotiable condition before any money moves.

Some importers settle for steps that give a false sense of security. Relying on a "Verified Supplier" badge on the platform does not mean the party is a factory; the badge confirms registration, not production capacity. Relying on glossy photos that may be copied from a competitor. Relying on positive reviews that may be old or for a different product. Even a professional website can be built in a single day. The rule: never lean on a single signal; gather several cross-checked pieces of evidence, and make an independent on-site inspection the final word before a large payment.
