When you commission a quality inspection in China, the report that lands in your inbox is full of terms like "AQL 2.5/4.0", "General Inspection Level II", and "sample size 200". Many importers approve these settings without understanding them — then are shocked when a shipment that "passed inspection" arrives with more defects than they expected. Understanding AQL is not a technical luxury; it is the language that literally defines how many defects you have agreed to accept in your goods. This guide explains it in a trader's language, not an engineer's.

What Is AQL, Exactly?

AQL stands for Acceptable Quality Limit, an internationally recognized standard (ISO 2859-1 and its equivalents) that answers two practical questions: how many pieces from a shipment should be inspected as a random sample, and how many defects are allowed in that sample before the whole shipment is rejected? The core idea is that inspecting every piece in a 10,000-unit shipment is costly and impractical, while a properly drawn random sample gives a statistically reliable picture of the entire lot at reasonable cost.

How Is the Sample Size Determined?

Sample size depends on lot size and inspection level. The most commonly used setting is General Level II — the default at most inspection companies. Approximate examples:

  • A 1,000-piece shipment: a sample of about 80 pieces is inspected.
  • A 5,000-piece shipment: about 200 pieces.
  • A 10,000–35,000-piece shipment: about 315 pieces.

Lighter (Level I) and stricter (Level III) levels exist, along with special levels for destructive or laboratory-style tests, but Level II is the sensible starting point for most commercial shipments.

What Do the Numbers 0.065 to 6.5 Mean?

The AQL number roughly expresses the maximum defect rate you consider tolerable. Common values in general trade:

  • AQL 1.0 for sensitive products or critical checks: high strictness.
  • AQL 2.5 for major defects: the most common consumer-goods standard.
  • AQL 4.0 for minor defects: more tolerance for small cosmetic issues.

The popular configuration "0 critical / 2.5 major / 4.0 minor" means in practice: a single critical defect (a safety hazard or regulatory violation) fails the shipment, while a limited number of major and minor defects are allowed according to the standard's tables. For example, in a 200-piece sample at 2.5/4.0, up to roughly 10 major and 14 minor defects are acceptable — beyond that, the result is FAIL and you renegotiate with the factory for sorting, rework, or re-production before shipment.

Choosing the Right AQL for Your Product

  1. Cheap, fast-moving goods (simple housewares, accessories): 2.5/4.0 is usually sufficient.
  2. Electronics and appliances: tighten majors to 1.5 or 1.0 — every defect here becomes a return or warranty claim in Saudi Arabia.
  3. Children's products and items in contact with the body: strictest settings with zero tolerance on critical defects, reinforced by the SASO/SABER safety requirements you will face at clearance anyway.
  4. Premium goods or private-label products carrying your brand: consider stricter AQL to protect brand reputation, even at the cost of more rejected lots.

Note the trade-off: over-tightening AQL raises rejection rates and creates constant disputes with factories over marginal flaws, while over-loosening lets brand-damaging goods through. The balance is set by your product and your market's expectations.

The golden rule: agree AQL levels and defect classifications in writing on the purchase order before paying the deposit — a standard that was never agreed in advance cannot be enforced on the factory afterwards.

The Limits of AQL: What It Does Not Tell You

AQL is an excellent statistical tool, but it is not an absolute guarantee. A passed sample does not mean the shipment is defect-free; it means the defect rate is statistically within the agreed limits. A final pre-shipment inspection also discovers problems only after production is complete, when fixing them is hardest — which is why larger or more complex orders benefit from combining it with a during-production (DUPRO) check. Finally, the quality of the inspection itself depends on the inspector's integrity and on cartons being genuinely selected at random from different locations in the warehouse, not from a prepared front row.
